Municipalities, sanitation contractors, hospitals, colleges, temples and factories buy brooms by the thousand. Whether you need a coconut broom for road cleaning or for corridors and wards, the problem is the same: a vague spec gets you a light, cheap broom that wears out in weeks. This guide explains how to write a clear spec and what to ask a bulk supplier.
We are Ramnad Agro, a family wholesale business in Ramanathapuram, Tamil Nadu, supplying coconut leaf brooms (thenna eeki) and palmyra brooms (panai eeki) in lorry loads since 1998.
Coconut broom or hard broom: match the broom to the surface
In Indian retail, “hard broom” usually means a stick broom, either coconut or palmyra. They are not interchangeable.
| Surface / job | Better choice | Why |
|---|---|---|
| Paved paths, corridors, wards, classrooms | Coconut broom | Flexible sticks, picks up fine dust |
| Roads, gravel, mud, wet leaves | Palmyra broom | Thick, stiff ribs push heavy debris |
| Mills, godowns, grain yards | Palmyra broom | Holds up to heavy daily use |
| Polished tiles and marble | Coconut broom | Palmyra ribs are too stiff for polished floors |

What to put in an institutional broom specification
A good spec lets every bidder quote the same broom. Include these:
- Length in cm or inches, with a tolerance (for example ±5 cm).
- Minimum weight per broom in grams. This is the best single proxy for stick count and life.
- Stick condition: dry, free of leafy waste, uniform length within a bundle.
- Binding: how it is tied, and that no sticks shed when shaken.
- Handle: none, or the handle material and length.
- Bundle size and marking, so stores can count deliveries quickly.
For reference, our standard coconut broom is about 75–90 cm and 350–500 g, hand-tied and cleaned of leaf waste. Our palmyra broom is about 85–105 cm and 500–750 g, double-tied. Heavier coconut brooms are available on request.
Long-handle vs hand brooms
Hand brooms (no handle) are the traditional South Indian format and the cheapest to supply and transport. Sweepers bend to use them, which some departments now want to avoid for staff comfort.
Long-handle brooms let workers stand while sweeping and are common for road and campus cleaning. They cost more and take more lorry space. We fit palmyra brooms with handles on request; tell us the handle type and quantity.
Documents institutional buyers should ask for
- A pre-order sample to approve and keep as the reference for delivery. We send a 5-broom coconut sample bundle by courier at cost.
- A written quotation with spec, bundle size, quantity, freight and validity.
- A proper tax invoice. Confirm the correct HSN code and GST rate for brooms with your accounts team.
- Transport documents: the bilty or LR copy, so you can track the consignment and count bundles on arrival.
A note on GeM and tenders
Government departments often buy through the Government e-Marketplace (GeM) or open tenders. Rules on which route you must use depend on your department and order value, so check with your procurement officer.
Whatever the route, the spec points above still apply. A clear length, minimum weight and sample reference protect you from lightweight brooms even on a lowest-price bid. Contractors who supply municipalities can also buy from us directly for their own contracts.
Estimating how many brooms you need
Under-ordering means emergency local buying at retail rates; over-ordering means brooms sitting in a damp store. A simple estimate helps:
- Count the sweepers or cleaning staff who use a broom every day.
- Ask supervisors how often a broom is replaced on each surface. Rough roads wear brooms much faster than corridors.
- Multiply staff by replacements per month to get monthly use.
- Add a buffer for monsoon months, festivals and events.
Then order in whole bundles. One delivery per quarter is often easier to store and check than monthly small lots, as long as your store room is dry.
Receiving and inspecting a broom delivery
Decide in advance who checks the delivery and how. A short routine is enough:
- Count bundles against the bilty / LR and the invoice.
- Pick a few bundles at random and weigh them to check the average weight per broom.
- Measure length and compare with your approved sample.
- Shake a few brooms; sticks should not fall out.
- Check for damp, musty smell or dark spots.
Write down the results. If something does not match, a record made on the day makes it easy to settle with the supplier.
Packing for large broom orders
Brooms are bulky, so a lorry fills by space before weight. Good packing reduces freight cost per broom and damage in transit.
- Coconut brooms: bundles of 10 or 25. Palmyra brooms: bundles of 10, compressed for lorry loading.
- Bundles are counted before loading, so your count on arrival should match the bilty.
- Store brooms dry and off the floor. Damp sticks soften and can grow mould.
Delivery timelines and payment
For a contract with fixed start dates, plan backwards from your delivery date.
- Sample by courier and approval.
- Booking with 50% advance.
- Dispatch in 3–5 working days for lorry loads.
- Balance paid before dispatch against the transport receipt (bilty / LR).
- Transit time by lorry or parcel service, depending on your city.
Minimum order is 100 bundles of 10 for both coconut and palmyra brooms. For recurring needs, tell us your monthly quantity so we can plan supply. Also see our guide to choosing a coconut broom supplier.
Share your length, minimum weight, handle needs, quantity and delivery location. We will quote coconut or palmyra brooms with freight and send a sample for approval.
